VAVA Woods by RS Exports provides made-to-order wooden doors, carved doors, wooden frames and chaukhat, panels, mandirs, furniture and bespoke architectural woodwork for homeowners, architects, interior designers, builders, hospitality projects, developers and other buyers.

2. Acceptance of these terms

By using this website, submitting an enquiry, requesting a quotation or placing an order with VAVA Woods, you agree to these Terms & Conditions together with any specific terms contained in the applicable quotation, invoice, purchase order, work order or written agreement.

If there is a conflict between these website Terms & Conditions and a signed project-specific agreement, the project-specific agreement will generally prevail for that transaction.

3. Website information and product visuals

The VAVA Woods website contains design references, product concepts, images, descriptions, measurements, material information and other content intended to help customers understand possible styles and project directions.

Because VAVA Woods works primarily on a made-to-order basis:

• Images may represent design concepts rather than stocked finished products.
• Final dimensions may vary according to the project requirement.
• Final carving and detailing may vary according to manufacturing feasibility.
• Wood grain, tone and natural variation differ from piece to piece.
• Polish and finish appearance may vary depending on timber and lighting.

5. Quotations and pricing

Quotations are prepared based on the information available at the time, which may include dimensions, wood species, quantity, carving, finish, hardware, packing, transport and other project requirements.

Unless stated otherwise, prices displayed in articles, guides or website content are indicative market references and are not binding VAVA Woods quotations.

A quotation may change if:

• Dimensions or quantities change
• Wood species or grade changes
• Carving or design complexity changes
• Hardware or finish requirements change
• Site conditions or delivery destination change
• Taxes, freight or material costs change before order confirmation

6. Quotation validity

A quotation is valid only for the period stated on the quotation. If no period is stated, pricing should not be assumed to remain open indefinitely because timber, hardware, labour and logistics costs may change.

An enquiry or quotation alone does not constitute a confirmed order.

7. Order confirmation

A custom order is considered confirmed only when the conditions stated in the quotation or order confirmation have been satisfied, which may include:

• Acceptance of the quotation
• Approval of drawings or specifications
• Payment of the applicable advance
• Confirmation of wood, finish and hardware
• Confirmation of delivery location and quantity

8. Advance payments and payment schedule

Custom manufacturing may require an advance payment before material procurement or production begins.

The exact payment schedule will be stated in the applicable quotation or invoice. Depending on the project, payments may be linked to stages such as order confirmation, production progress, completion or dispatch.

VAVA Woods may pause procurement, manufacturing or dispatch if scheduled payments are delayed.

9. Drawings, dimensions and approvals

Customers are responsible for providing accurate dimensions, drawings, schedules, reference information and site requirements unless measurement services are expressly included in writing.

Where drawings, renders, samples or design approvals are requested, manufacturing may begin only after approval.

Changes requested after approval or after production begins may result in additional charges and revised delivery timelines.

10. Customisation and natural variation

Wood is a natural material. Variations in grain, colour, knots, mineral marks, texture and tone are normal and are not automatically defects.

Hand-carved or handmade elements may also contain small variations that reflect the nature of handcrafted production.

Exact duplication of natural grain, hand carving or a reference image cannot always be guaranteed.

11. Wood species and material availability

Availability of teak, sheesham, rosewood or other hardwoods can vary by grade, source, dimensions and market conditions.

If a specified timber becomes unavailable before procurement, VAVA Woods may propose an alternative material or revised quotation for approval before proceeding.

12. Lead times

Lead times for made-to-order products are estimates unless expressly guaranteed in writing.

Production time may depend on:

• Timber procurement and seasoning status
• Design complexity
• Carving requirements
• Quantity
• Finish and polishing process
• Hardware availability
• Approval delays
• Transport and logistics conditions

13. Delivery and transport

Delivery, freight, packaging, unloading and installation responsibilities will depend on the terms stated in the quotation or order confirmation.

Customers should inspect packaging and goods promptly on receipt and report visible transit damage as soon as reasonably possible, together with photographs and relevant transport documents.

14. Installation

Installation is included only where specifically stated in writing.

Where installation is carried out by third parties, VAVA Woods is not responsible for damage caused by incorrect fitting, unsuitable site conditions, improper handling or unauthorised modification.

Door frames, shutters and heavy carved elements should be installed by competent professionals using suitable hardware and fixing methods.

15. Site readiness

Where site installation or measurement is part of the scope, the customer is responsible for ensuring reasonable site access and readiness.

Delays caused by unfinished civil work, inaccessible locations, incorrect openings, lack of power, site restrictions or other conditions outside VAVA Woods’ control may affect timelines or result in additional charges.

16. Cancellation of custom orders

Because custom orders may involve timber procurement, design work, carving, fabrication and other customer-specific work, cancellation rights may be limited after an order has been confirmed.

Any cancellation request will be reviewed according to the stage of the project and the terms of the applicable quotation or order confirmation.

Amounts already spent on materials, labour, design, processing or other committed costs may be non-refundable.

17. Returns and refunds

Made-to-order or customised products are generally not eligible for return merely because of a change of mind, design preference or natural timber variation.

If an item materially differs from the confirmed specification or has a genuine manufacturing defect, VAVA Woods should be notified promptly with photographs and details so the issue can be reviewed.

The appropriate remedy may depend on the circumstances and may include inspection, repair, replacement of an affected component or another reasonable solution.

18. Inspection and defect reporting

Customers should inspect products within a reasonable period after receipt.

Claims relating to visible manufacturing defects, incorrect quantities or transit damage should include clear photographs and supporting information.

Damage caused after delivery by water exposure, impact, incorrect storage, unsuitable installation, construction activity or misuse may not be treated as a manufacturing defect.

19. Maintenance and care

Wooden products require appropriate care. Customers should protect them from excessive water, prolonged direct weather exposure, harsh chemicals, standing moisture and unsuitable cleaning products.

Exterior and frequently used wooden products may require periodic inspection and refinishing depending on climate, exposure and finish system.

20. Carved doors, mandirs and open flame

Wooden mandirs and carved interiors should be used with appropriate fire safety. Diyas, candles, incense and other heat sources should not be placed dangerously close to combustible wooden surfaces.

Open flames should not be left unattended.

21. Intellectual property

Unless otherwise stated, website content including text, branding, design layouts, graphics, illustrations and original content belongs to VAVA Woods, RS Exports or the relevant rights holder.

Content may not be reproduced, republished, copied or commercially exploited without appropriate permission.

22. Customer-supplied reference images

Customers may share photographs, Pinterest images, drawings or other references to communicate a design direction.

By submitting reference material, you confirm that you are authorised to share it. VAVA Woods may use such references only to understand the requested style or specification.

A reference image does not guarantee exact reproduction, and VAVA Woods may adapt the design for manufacturing, structural, legal or intellectual-property reasons.

23. Website availability

We aim to keep the website available and accurate but do not guarantee uninterrupted access or that every page will always be free from technical errors.

Website content may be updated, removed or changed without prior notice.

24. Third-party links

VAVA Woods will not be responsible for delay or failure caused by events beyond reasonable control, including natural disasters, extreme weather, strikes, transport disruption, government restrictions, shortages of timber or hardware, utility failures, civil disturbances or other force majeure events.

28. Governing law and jurisdiction

These Terms & Conditions are governed by the laws of India.
